These Terms and Conditions (“Terms”) govern your use of the services provided by Chill Lab (“we”, “us”, “our”), a wellness services provider based in Nenagh, Co. Tipperary, Ireland. By booking an appointment, engaging our services or entering into a corporate programme agreement with us, you agree to these Terms.

For questions, contact us at: [EMAIL]

1. About Our Services

Chill Lab provides professional wellness services including sports massage therapy, breathwork facilitation, sound bath experiences, desk mobility sessions, nutrition coaching and wellness workshops. Services are delivered at our premises in Nenagh, Co. Tipperary, and — in the case of corporate programmes — at client premises throughout Ireland.

Our services are for general wellbeing purposes and are delivered by qualified practitioners. They do not constitute medical treatment or professional medical advice. If you have a medical condition, please consult your GP before booking.

2. Booking and Appointments

2.1 How to Book

Appointments can be booked through our website, by email or via our AI-assisted booking system (see Section 6). A booking is confirmed only when you receive a written confirmation from us (by email or automated message). Verbal agreements do not constitute a confirmed booking.

2.2 Health Questionnaires

For certain services, you may be required to complete a health intake questionnaire before your first appointment and periodically thereafter. You are responsible for providing accurate and complete health information. Chill Lab accepts no liability for adverse outcomes resulting from incomplete or incorrect information provided by the client.

2.3 Right to Decline

We reserve the right to decline or discontinue a booking where, in the professional judgement of our practitioner, proceeding would not be safe or appropriate — for example, due to a contraindicated medical condition, intoxication or aggressive behaviour. In such cases, a full refund will be issued for any prepaid session.

3. Pricing and Payment

3.1 Pricing

Current prices are displayed on our website and are subject to change. Prices quoted at the time of booking will be honoured for that booking. All prices include VAT where applicable.

3.2 Payment

Payment is due at the time of booking or at the point of service, as specified during the booking process. We accept payment by card via our secure payment processor. For corporate clients, invoicing terms are agreed separately (see Section 7).

3.3 Deposits

We may require a deposit for certain bookings or for first-time clients. This will be clearly communicated at the time of booking. Deposits are non-refundable if you cancel within the notice period specified in Section 4.

4. Cancellation and Rescheduling

4.1 Client Cancellation

We understand that plans change. Our cancellation policy is as follows:

  • More than 24 hours’ notice: Full refund or free rescheduling.
  • Less than 24 hours’ notice: 50% of the session fee is charged.
  • No-show (no notice given): Full session fee is charged.

Cancellations must be made by email to [EMAIL] or via the link in your booking confirmation.

4.2 Cancellation by Chill Lab

In the unlikely event that we need to cancel your appointment — due to practitioner illness, emergency or force majeure — we will give you as much notice as possible and offer a full refund or an alternative appointment at your convenience.

4.3 Late Arrivals

If you arrive late for an appointment, we will do our best to accommodate you. However, sessions may be shortened to avoid affecting other bookings. The full session fee applies regardless of late arrival.

5. Health, Safety and Contraindications

You are responsible for informing us of any medical conditions, injuries, medications or contraindications that may affect the suitability of treatment before your appointment. This includes, but is not limited to:

  • Cardiovascular conditions
  • Active infections, skin conditions or open wounds
  • Recent surgery or fractures
  • Pregnancy
  • Blood clotting disorders or anticoagulant medication

If you are uncertain whether a particular service is appropriate for your health situation, please consult your GP and contact us before booking. Chill Lab accepts no liability for adverse outcomes where you have withheld or failed to disclose relevant health information.

6. AI Agents and Automated Communications

We use AI-powered tools and automated systems to assist with booking, client communication and appointment management. When you interact with our services, you may be communicating with an AI agent. This may include:

  • Automated booking confirmations and appointment reminders
  • AI chat agents responding to enquiries about services, availability and pricing
  • Automated post-session follow-ups and feedback requests

AI agents do not provide medical advice. Any health-related questions should be directed to a qualified member of our team. If you are unsure whether you are speaking with an AI or a human, you have the right to ask, and we will always tell you.

Automated communications from us are subject to our Privacy Policy. You may opt out of non-essential automated communications at any time by contacting us at [EMAIL].

7. Corporate Clients

7.1 Corporate Programme Agreements

Where Chill Lab provides services to a business or organisation under a corporate wellness programme, the specific terms — including session frequency, pricing, cancellation policy and reporting — will be set out in a separate written agreement between Chill Lab and the contracting organisation. These Terms apply to all corporate engagements except where the corporate agreement explicitly supersedes them.

7.2 Invoicing and Payment

Corporate clients will be invoiced on a schedule agreed in writing. Standard payment terms are 30 days from the invoice date unless otherwise agreed. Overdue invoices may be subject to interest at the rate prescribed under the Late Payment in Commercial Transactions Regulations (S.I. No. 580 of 2012).

7.3 Minimum Booking Requirements

Certain services — particularly on-site wellness days and sound bath events — may be subject to minimum booking requirements. These will be communicated and agreed in writing before any booking is confirmed.

7.4 Employee Data and Data Protection

The contracting organisation is responsible for ensuring appropriate legal grounds exist to share employee personal data with Chill Lab. Where required, a Data Processing Agreement will be executed prior to the commencement of the programme. See our Privacy Policy for further details.

8. Marketing

With your consent, we may send you marketing communications about our services, offers and wellness content. You can withdraw your consent at any time by:

  • Clicking the unsubscribe link in any marketing email
  • Emailing [EMAIL]
  • Replying STOP to any marketing SMS

Withdrawing marketing consent does not affect your ability to use our services or receive essential service communications (such as booking confirmations and appointment reminders).

9. Liability

9.1 Our Liability

Chill Lab’s practitioners are fully qualified and insured. We take reasonable care to deliver services safely and professionally. However, to the maximum extent permitted by Irish law:

  • We are not liable for any indirect, consequential or economic loss arising from use of our services.
  • Our total liability to any individual client in connection with any single booking shall not exceed the fee paid for that booking.
  • We are not liable for any adverse outcomes resulting from information you failed to disclose.

Nothing in these Terms limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

9.2 Your Responsibility

You are responsible for attending appointments in a suitable physical and mental state, disclosing relevant health information and following any aftercare guidance provided by our practitioners.

10. Intellectual Property

All content on the Chill Lab website — including text, images, graphics, logos, workshop materials and digital resources — is owned by or licensed to Chill Lab and is protected by copyright. You may not reproduce, distribute or create derivative works from our content without prior written consent.

11. Privacy

Your privacy matters to us. Our use of your personal data is governed by our Privacy Policy, which forms part of these Terms. By using our services, you acknowledge that you have read and understood our Privacy Policy.

12. Force Majeure

Chill Lab shall not be liable for any failure to perform its obligations under these Terms where such failure results from circumstances beyond our reasonable control, including but not limited to severe weather, public health emergencies, government restrictions, or failure of third-party infrastructure. In such cases, we will contact you as soon as practicable and offer a full refund or rescheduling.

13. Changes to These Terms

We reserve the right to update these Terms at any time. The current version will always be published on our website with the “Last updated” date. Bookings made before any update are governed by the Terms in force at the time of booking.

14. Governing Law

These Terms are governed by and construed in accordance with the laws of Ireland. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the Irish courts.
